This policy explains what information Luma collects, how we use it and the choices you have. We’ve tried to write it plainly.
1. Who we are
Luma Reports (“Luma”, “we”, “us”) is operated by Noblegate Holdings, LLC, 138 E 12300 S, STE C-1006, Draper, UT 84020. Luma is reporting software for indoor environmental professionals: it helps inspectors document findings and deliver reports to their clients.
2. Two kinds of information
Luma handles two different kinds of information, and our role is different for each.
- Account information about the inspectors and firms who use Luma. We decide how this is used, as described in this policy.
- Customer content: what inspectors put into Luma about their inspections, including client names and contact details, property addresses, photos, measurements, lab results, notes and reports. We process customer content on behalf of the inspection firm, which decides what is collected and is responsible for its own clients’ privacy.
If you’re a homeowner or property owner who received a report, please contact the inspection firm first. We’ll help them respond to your request.
3. Information we collect
- Account and firm details: name, credentials, email, phone, company name and logo, and billing details (processed by our payment provider; we don’t store full card numbers).
- Inspection content: property addresses, client names and contact details, observations, findings, photos (which may show the inside of homes), measurements, sample and laboratory results, notes and reports.
- Voice recordings and transcripts when you use dictation.
- Report delivery details: recipient email addresses, send dates, versions, and, if the inspector turns it on, when a report link was first opened.
- Usage and device information: log data, IP address, browser and device type, pages and features used, and error reports.
- Early access sign-ups: your email address and the kind of work you do.
- Messages you send us, such as support requests.
4. How we use information
- To provide Luma: store inspections, build reports, deliver them and keep your account working.
- To run the features you choose, such as dictation, Refine and report delivery.
- To keep Luma secure, prevent abuse and fix problems.
- To answer support requests and send service messages, such as security notices and changes to these terms.
- To improve Luma using aggregated or de-identified information.
- To meet legal obligations.
We don’t sell personal information, and we don’t use customer content to show ads. We don’t use customer content (including photos, voice recordings and reports) to train AI models.
5. AI features
When you use dictation or Refine, the text or audio involved is sent to an AI service provider to produce a result, and is used only for that purpose. AI output is a suggestion: nothing Luma drafts is treated as final until the inspector confirms it, and Luma’s checks are designed to keep measurements and qualifying language (such as “suspected” or “appears”) unchanged.
7. Report links
Reports delivered by link can be opened by anyone who has the link, until it expires or the inspector turns it off. Links are long, random and hidden from search engines. If the inspector turns on open notifications, we record when the report is first opened in a browser. We don’t use tracking pixels in report emails.
9. How long we keep information
- Account information: while the account is active, and for [X] days after it’s closed.
- Customer content: until the firm deletes it or closes its account, then removed from active systems within [30] days and from backups within [90] days.
- Sent report versions: kept with their inspection as a record of what was delivered, until the inspection is deleted.
- Voice recordings: kept for the period set by the firm (default [X] days); transcripts stay with the finding.
- Logs: [X] days.
10. Security
We use encryption in transit and at rest, access controls that limit each firm’s data to its own members, and private storage with short-lived links for photos and PDFs. No system is perfectly secure; if a breach affects your information, we’ll notify you as the law requires.
11. Your choices and rights
You can view and update your account information in Luma at any time. You can also ask us to access, correct, delete or export your personal information by emailing hello@lumareports.com. Depending on where you live, including California, Colorado, Utah, Virginia and other U.S. states, you may have additional rights under local law. We’ll verify your request and won’t treat you differently for exercising your rights.
For information in an inspection report, we’ll pass your request to the inspection firm that holds it.
12. Children
Luma is a tool for professionals and isn’t directed to children. We don’t knowingly collect personal information from children under 16.
13. Where information is processed
Luma is based in the United States, and information is stored and processed in the United States [confirm with your providers]. If you use Luma from elsewhere, your information will be transferred to the United States.
14. Changes to this policy
We’ll post any changes here and update the date above. If a change is significant, we’ll tell account holders by email or in Luma before it takes effect.
